Workflow Automation

Workflow automation is the use of software to move tasks, documents, and data through a defined sequence of steps, using rules and triggers so each step starts without someone passing the work along by hand.

What is workflow automation?

Workflow automation is software that moves work through a defined sequence of steps. A trigger starts the workflow, such as a submitted form, a new record, or an incoming email. Rules then decide who gets each task, what data passes along, when reminders go out, and what happens when a deadline is missed. Every step is recorded, so anyone can see where a case stands and who acted on it.

Workflow tools range from features inside enterprise resource planning (ERP), customer relationship management (CRM), and ticketing systems to dedicated workflow engines and low-code integration platforms. They usually connect systems through APIs rather than through screens, which distinguishes them from robotic process automation. AI fits in as a step inside the workflow, for example to classify a request or draft a reply. In an agentic workflow, an agent handles the steps that need judgment while the workflow keeps the structure.

Workflow automation in practice

A county planning office accepts building permit applications online. When an application arrives, the workflow checks that the required documents are attached and opens a case. It assigns the case to the zoning, fire, and building reviewers at the same time. Reviewers get reminders as deadlines approach, and supervisors see a list of overdue cases. The applicant receives a status email at each stage, and the fee invoice goes out automatically once every reviewer approves. Staff no longer chase reviewers by email, and applicants call less often to ask where their permit stands.
