Document Automation

Document automation is software that assembles contracts, letters, proposals, and reports from approved templates, business rules, and system data, and can use a language model to draft the passages that vary.

What is document automation?

Document automation is the use of software to produce business documents such as contracts, engagement letters, proposals, and reports. A template holds the approved wording, with fields to fill and sections that appear only under certain conditions. A questionnaire or a customer relationship management (CRM) record supplies the facts, and rules decide which clauses apply. The result is a draft ready for review and signature. Intelligent document processing works in the opposite direction, reading incoming documents and extracting their data.

Generative AI extends the approach to passages that templates handle poorly, such as a cover letter or a summary of a case file. A sound design keeps approved language locked in the template and lets a language model write only the parts that vary.

Document automation in practice

An employment law firm produces separation agreements for corporate clients. Template rules insert state-specific release language and, for employees aged 40 and over, the consideration and revocation periods that federal law requires. A language model drafts the cover letter and summarizes the negotiation history for the supervising attorney, who reviews every agreement before it goes out. Associates spend their time on the terms actually in dispute.

What to watch for

  • Templates need an owner who updates clauses when laws or policies change and keeps prior versions on record.
  • An error in the source system is copied into every document, so validate the data before generation.
  • A language model can add facts found nowhere in the file, so reviewers should check generated passages against the source.
